Data Campaigns are collaborative workflows that enable systematic collection of emissions data across your organisation.

Creating your Data campaign

Key components:

  • Measurement Year: The reporting period for data collection

  • Data Collection Task Assignments: Specific data collection responsibilities

  • Data Templates: Pre-set data collection forms for different emission scopes

  • Timeline Management: Due dates and milestone tracking

  • Business Unit Mapping: Connecting data to organisational structure

Prerequisites Verification

Before creating a campaign, ensure:

  • ✅Organisation chart exists for target measurement year

  • ✅Stakeholders invited with appropriate roles (Viewer, Data Custodian)

  • ✅Emission factor versioning is configured (system requirement)


Set up “Measurement” project

  1. Navigate to the “Measurement” section on the platform

  2. There may be other “Measurement” projects displayed, or the page may appear blank if none have been created previously.

  3. Click "+ New"

  4. Details such as the measurement year, title of data campaign, and description (this field is optional) are provided. Note that only one measurement year can be selected for a given data campaign.

  5. Click “Create” to continue.


Creating data collection tasks

Next, we create tasks to assign them to data custodians for data collection. There are two ways to create data collection tasks.

  1. Bulk task creation

  2. Creating tasks individually from scratch

Refer the detailed steps as following:

1. Bulk data collection task creation

  1. Choose the appropriate template.

  2. The platform provides two types of pre-configured templates, designed for different reporting needs:

    1. GHG Emissions template: Select this template to create tasks related to GHG measurement.

    2. Waste and Water: Select this template to create tasks related to waste and water management.

  3. Within each scope and category, you can toggle tasks on or off as needed. (If data from a specific category is not required, simply untick the checkbox.)

  4. Click “Use Template”.

  5. You will be directed to “Overview” of the Measurement section, with an empty measurement result and “Task progress” which indicate how many tasks are completed.

  6. Go to the “Tasks” tab to see the list of tasks created, and also showing scope and subcategories associated with the tasks.

2. Creating data collection tasks individually from scratch

  1. Click “Start from Scratch.”

  2. You will be directed to the “Overview” section of Measurement, which displays an empty measurement result and the Task progress indicator (showing how many tasks have been completed).

  3. Navigate to the “Tasks” tab. Here you will again see an empty measurement result and the Task Progress indicator.

  4. Click “+ New Task.” A pop-up window will appear prompting you to enter the required information:

    1. Category: Select either GHG Emissions or Waste and Water Management.

    2. Task name: A name will be pre-filled, but you may edit it to make it clearer or easier to understand.

    3. Due date: Set a completion date. You may also assign or adjust the due date later from the Tasks page.

    4. Description (optional): This field contains pre-filled explanations of the categories and can be edited as needed. Although completing this field is optional, it is recommended to add or revise the description to provide specific explanations about the task, helping Data Custodians clearly understand the data they are expected to collect. The information provided in this field will be displayed on the data upload screen, guiding Data Custodians to ensure they submit the correct data for the appropriate tasks.

  5. Click “Create.”

  6. You will return to the Tasks page and see the newly created task with the details you provided.


Assigning Project Managers to Measurement Project

Carbon Managers can assign any user (including Viewers) as a “Project Manager” to the specific data campaign to ensure that they are tracking the data collection progress and can assign other data custodians to submit data. Project managers will have additional capabilities within the platform to assign users for the specific data campaigns and update task statuses.

Project Managers can be assigned by clicking on the below sign on the top right corner of the “Overview” page.


Assigning Assignees, Due Dates, and Business Units to Data Collection Tasks

  1. Navigate to “Measurement”, choose the desired “Measurement” project, then go to “Tasks”.

  2. Select a task or multiple tasks to enable bulk actions.

  3. A toolbar will appear; hover over the desired item to assign.

  4. Select the relevant assignees, due dates, or business units as needed.

  5. If incorrect information is provided, please correct it by following the same procedures.

  6. When an Assignee is assigned, the Assignee will receive a notification (email, and in app) containing a link to the tasks immediately.

NOTE: Assigning a Business Unit (BU) to a task is optional. This feature can be useful in the following scenarios:

  • Help Campaign owners and Project Managers to sense check whether they have requested all of the data they need from all of the BUs.

  • Help Campaign owners and Project Managers to validate data against respective BUs to ensure that relevant data is submitted.


Changing Assignees, Due Dates, and Business Units fpr Tasks

Bulk Update:

  1. In the "Tasks" section of your selected Measurement project,

  2. select multiple tasks by ticking the boxes beside each one.

  3. Assign new assignees, due dates, and business units to all selected tasks at once.

Updating Individual Tasks:

4. To update a task individually, click the three-dots menu at the end of the task line, then select the desired action (e.g., Assign Business Unit, Assignees).

  • To change the due date for a task, select "Edit" from the menu.

  • When a new assignee is added, a notification is immediately sent to that individual.

Removing an Assignee:

5. To remove an existing assignee from a task, open the three-dots menu on the relevant task.

6. In the list of current assignees, click the minus (“-”) icon next to the name to remove them from the task.


Campaign Monitoring and Communication

Data collection task status update

Carbon Managers or Project Managers can track and manage your tasks by updating their status on the platform.

  1. Click the three-dot menu on the right side of your chosen task and select “Edit.”

  2. Then, adjust the status as needed.

  3. You can view the status of each task directly in the task list.

Below are the typical use cases for each status:

  • Not started:This is the default status. It applies to tasks where data custodians have not yet taken action or where Carbon Managers or Project Managers have not assigned data custodians.

  • Processing: Select this status when data has been submitted and is undergoing validation and automated emission calculation processes. Sometimes, this process is not straightforward and may require data custodians to resolve data issues or consult with you. Use this status to indicate that processing or resolution is in progress.

  • Accepted: All actions related to the task—including data submission, emission calculation, and review — are complete.

  • Needs Review: Use this status when you are in the process of reviewing activities or emission factor (EF) matching.

  • Submitted: Choose this status when the completed set of data for a task has been submitted. If data submission occurs in phases, you may only set this status when all required data for the task has been submitted; partial submissions do not qualify.

Receiving automated task update notifications

Data Custodian Notifications:

Notifications regarding task assignments will be received through several channels;

  • Email notification upon task assignment

  • In-platform task alerts

  • Direct links to assigned tasks

Carbon Manager Notifications

  • Task status notifications

  • Review requirement notification

NOTE: All Carbon Managers within the organization will currently receive task status updates provided by other Carbon Managers or Project Managers. Enhancements to this process are planned for the future.

Campaign Dashboard Progress Tracking

  1. Task completion percentages

  2. Business unit coverage metrics

  3. Timeline adherence monitoring

  4. Assignee workload distribution

Steps to see each progress tracking:

  1. Within the "Overview" tab of the "Measurement" project, Task completion percentages are displayed as the ratio of completed tasks to the total number of tasks.

  2. Within the "Overview" tab, Business unit coverage metrics allow monitoring of each unit’s status, showing a list of business units along with their associated scope and category, accompanied by icons indicating progress status.

  3. Within the "Tasks" tab of the "Measurement" section,Users can filter by due date and to review upcoming deadlines.

  4. Within the "Tasks" tab of the "Measurement" section,Users can filter by assignee to assess the number of tasks assigned to each individual.
